Job Title: ADMINISTRATIVE/EMS CLERK
Under the supervision of the Fire Chief, the Administrative/EMS Clerk position involves the performance of varied accounting, report review and submission and clerical duties. The responsibilities of this position include EMS report preparation and processing, and data entry of patient information. Knowledge of medical terminology and procedures is preferred. Responsibilities include the accurate preparation and submittal of financial reports; and the maintenance of EMS reports. Employee also performs general administrative duties for the department.
- Daily processing of patient data, EMS payments and notes;
- Addresses customer inquiries via telephone, person to person or written correspondence;
- Submission of EMS reports and payments electronically;
- Generates monthly and year end reports on accounts receivable;
- Abides by the Health Insurance Portability and Accountability Act of 1996 (HIPAA) including confidentiality agreement.
- Processes all department expense receipts into purchase orders.
- Assists staff with EMS report quality review process.
- Coordinate information to proper personnel for ambulance transport;
- Assists Fire Chief and Assistant Chief’s in the daily administrative duties of the department;
- Performs other duties as assigned or deemed necessary.
- Takes minutes at safety committee and staff meetings.
Experience: At least two years in a position where good customer service is critical to success. Spreadsheet and word processing experience preferred. Employee is expected to have acquired the necessary information and skills to perform the job within one year in the position.
Education/Licenses: High school diploma or GED equivalent. Additional course work in accounting procedures and business office skills is desirable.
Technical Skills: Knowledge of medical terminology and procedures preferred. Ability to deal tactfully with other persons and communicate effectively and clearly, both orally and in writing. Proficiency in using computer software applications to include word processing, spreadsheets and databases. Ability to efficiently operate typewriters, adding machines, computers, photocopiers and related office machines. Thorough knowledge of office practice and procedures. Knowledge and understanding of accounting principles. The ability to understand and follow standard procedures.
Problem Solving: Must be able to answer questions regarding ambulance billing and insurance company reimbursement. The ability to follow written and oral instructions and handle several variables.
Decision-Making: Decision making is a factor in this position. Duties follow prescribed policies and procedures with some discretion and independent action.
Supervision: Work performance reviewed by the Fire Chief. Employee does not have supervisory responsibilities over subordinate personnel.
Financial Accountability: Employee is responsible for the proper and accurate handling of patient accounts, billing, and receipting of payments. Employee is not responsible for budgetary control of department and does not participate in the annual departmental budgetary process.
Personal Relations: Daily contact with the public. Must be courteous and tactful at all times with customers.
Working Conditions: Work hours generally between 8:00 a.m. to 5:00 p.m., with overtime occasionally required. Adverse working conditions generally do not exist in this position.
Physical Requirements: To perform the duties of this position, the employee must have fine and gross manual dexterity. Specific vision abilities required include close vision, color vision and depth perception. Ability to sit and stand for long periods of time. Ability to lift up to fifty (25) pounds; bend, stoop and kneel.
SALARY RANGE IS $12.20 TO $18.21 DOQ, WITH EXCELLENT BENEFITS, EOE, DRUG-FREE WORKPLACE.
