Usual working days/hours:

Monday - Friday | 8:00 AM - 5:00 PM

Location of work:

635 N. Main | Wichita, KS

Job Objectives:
Greet public, provide customer service and general reception as well as provide office and administrative support required to ensure timely processing of program referrals, outcome reporting and program functioning at all levels of service. Physical work space could be different each day.

Essential Job Functions:
Fiscal

  • Complete financial updates, take payments and write receipts, post payments on client accounts, verify insurance coverage, enter insurance authorizations.

Reception/Customer Service and Scheduling

  • Manage phones, greet public, check clients in and verify demographics.
  • Accurately schedule medication evaluations and appointments in an electronic medical record system and Outlook.

Paperwork and data entry

  • Process incoming faxes and referrals, prepare written correspondence, assist in preparing program reports, assist with data entry and tracking.
  • Verify insurance and enter authorizations.
  • Enter and analyze data
  • Assist with letter writing.
  • Process referrals.
  • Enter screen and evaluation transactions in electronic medical record.

Miscellaneous

  • Prepare filing to go to Medical Records.
  • Process inbound/outgoing mail, distribute inbound faxes and send faxes as requested by providers, perform other duties as assigned.
  • Coordinate with security to ensure safe environment for staff and consumers at the Community Crisis Center.


Job Standards:

  • High school diploma or equivalent with two years general office experience.
  • Proficient at data entry and ability to maintain boundaries and confidentiality is important.
  • Must have excellent customer service skills, knowledge of Microsoft office package, good organizational skills, be able to work in a fast paced environment, and be able to multi-task.
  • Multi-line phone skills.
  • Punctuality and good attendance are essential. Must be able to work 8:00AM to 5:00PM Monday through Friday.
  • Work is sedentary in nature and involves working at a desk the majority of the time.
  • Bilingual preferred.
  • Ability to cope with psychotic episodes of adults and children.
  • Knowledge of community services and benefit programs.
  • Ability to develop and maintain rapport with patients, the general public and all levels of staff.
  • Must possess the awareness and judgment to intervene appropriately when dealing with escalating emotional situations.
  • Possess the ability to negotiate several flights of stairs at a time and move effectively in varied settings throughout the community.
  • Possess the mobility and judgment to execute personal protective measures.
  • Able to calmly and effectively deal with agitated individuals or high risk situations.
  • Demonstrate autonomous critical thinking skills.
  • Demonstrate good professional judgment and decision-making skills.
  • Self-motivated.
  • Able to work with minimal direct supervision.
  • Demonstrate good time management and organizational skills in a fast-paced environment.
  • Able to handle competing urgent priorities.
  • Able to learn complex software related to an electronic medical record.
  • Must have a valid Kansas Driver s license, current proof of automobile insurance and be able to safely operate a motor vehicle.
  • Drive personal vehicle and/or occasionally drive a county owned vehicle for business purposes (ex. Transport clients to appointments), as required; documenting and reporting mileage according to agency procedures, so that services can be provided in a timely manner; comply with agency vehicle policy at all times.


Testing/Screening Requested:

  • KBI & DCF Background Checks
  • Driver’s license check
  • Pre-employment urine drug screen Final candidate will be required to pass a typing test of 45 WPM


Equipment:

  • Candidates must have good working knowledge of computers and Microsoft Programs.
  • They will need to be able to type and use multi-line phones.


Work Environment:

  • Office setting.
  • Will include working at multiple locations during a work week.
  • Work is sedentary in nature and involves working at a desk the majority of the time.
