Job Description:

Usual working days/hours:  Monday - Friday | 8:00 AM - 5:00 PM

Location of work: 1919 N Amidon | Wichita, KS

Job Objectives:
Greet and assist all consumers calling or coming into Adult Medical Services. Maintain schedule for doctors and APRNs. Provide support to department. Assist other departmental clerical staff in performing their duties when required. Performs any and all other duties assigned. Physical work space could be different each day.

Essential Job Functions:
Reception--Answer the program phone line, Route calls to appropriate destination, Greet all visitors to Adult Medical Services, Check in clients and notify providers, Distribute prescriptions/samples, Prepare letters, Maintain cleanliness and tidiness of waiting and reception areas. Scheduling appointments/PsychConsult--Schedule clients for doctors and APRNs, Maintain cancellation lists – process requests for scheduling priority appointments (hospital discharges, critical patients, etc.), Update PsychConsult for shows, no shows, or cancellations, Cancel appointments for therapists when needed, Make reminder calls for doctors and APRNs for clients that are not contacted by the automated reminder system, Prepare appointment cards. Financials/Intake paperwork/documentation--Prepare filing for Med Records daily – adding MRNs, Obtain copies of insurance cards and distribute needed forms such as Client Rights and Responsibilities (including annual redistribution), Assist with annual financial updates for medication only clients by providing the necessary form, Accept payment on accounts for Billing Department. Data Entry-- Obtain and update client demographics in PsychConsult Check daily appointment list and correct demographic information when needed. Special Projects/Miscellaneous--Request interpreters for medical appointments, Maintain visitors’ logs and obtain Authorized Visitor Forms, Distribute and obtain completed client surveys, Forward building maintenance issues to supervisor, Attend meetings and trainings, Cross train on other support staff duties, Complete essential learning mandatory and optional trainings. Assist other departmental clerical staff in performing their duties when required.

Job Standards:
•High school diploma or equivalent with two years general office experience. •Proficient at data entry and ability to maintain boundaries and confidentiality is important. •Must have excellent customer service skills, knowledge of Microsoft office package, good organizational skills, be able to work in a fast paced Community Mental Health Center, and be able to multi-task. •Multi-line phone skills. •Punctuality and good attendance are essential. Must be able to work 8:00AM to 5:00PM Monday through Friday. •Work is sedentary in nature and involves working at a desk the majority of the time. •Bilingual preferred. •Ability to cope with psychotic episodes of adults and children. •Knowledge of community services and benefit programs. •Ability to develop and maintain rapport with patients, the general public and all levels of staff. •Ability to keep client documentation current. •Must possess the awareness and judgment to intervene appropriately when dealing with escalating emotional situations. •Possess the ability to negotiate several flights of stairs at a time and move effectively in varied settings throughout the community. •Possess the mobility and judgment to execute personal protective measures. • Able to calmly and effectively deal with agitated individuals or high risk situations. •Demonstrate autonomous critical thinking skills. •Demonstrate good professional judgment and decision-making skills. •Self-motivated. •Able to work with minimal direct supervision. •Demonstrate good time management and organizational skills in a fast-paced environment. •Able to handle competing urgent priorities. •Possess basic or intermediate computer skills: able to learn complex software related to an electronic medical record. •Must have a valid Kansas Driver’s license, current proof of automobile insurance and be able to safely operate a motor vehicle.

Testing/Screening Requested:
• KBI & SRS Background Checks •Driver's license check •Pre-employment urine drug screen •Final candidate testing to include general typing at 45 wpm.

•Candidates must have good working knowledge of computers and Microsoft Programs. •They will need to be able to type and use multi-line phones.

Work Environment:
•Office setting. •Will include working at multiple locations during a work week. •Work is sedentary in nature and involves working at a desk the majority of the time
