Essential Job Functions:

Provide clerical support to the environmental health staff and childcare licensing staff.  Supportive staff for other projects assigned by the Department supervisors.

Job Standards:

Register EH and LCC clients into the KIPHS program and EH access.  Prepare electronic folders for new and existing clients.  Files records electronically when completed.  Type correspondence to EH and LCC clients as requested.  Assemble and send inspection reports, permit process forms, educational packets, bills and mail or e-mail to EH and LCC clients.  Answer phone and direct calls or take messages.  Take information for mortgage inspection requests, register in computer and prepare file.  Track follow-up actions, correspondence and prepare draft correspondence.  Process EH and LCC encounters.  Data entry of environmental health activity into Access software program.  Create and revise EH and LCC forms, letters and handouts.  Attend EH meetings and take minutes.  Prepare memo about meeting and send to members as needed.  Prepare education materials for day care and code licensure class.  Verify lab fee bill.  Prepare and send out notices for enhanced treatment maintenance due to property owners.  Assist with Reno County Water Festival.  Send copies of school inspections reports to school districts.  Prepare and send out sanitation code license renewal notifications.  Mail sanitation code official licenses.  Assist with contractor’s class.  Maintain adequate supply of EH and LCC forms, brochures and codes.  Maintain files information in Access, Fortis and in the file room.  Keep roster of addresses, names and dates for EH and LCC clients as needed.  Keep roster of permit numbers of wastewater and water well permits.  Relief clerk for other clerical positions, as needed.  Attend clerical meetings as needed.  Set up for EH and LCC meetings.  Assist with special outreach events.  Update the website as needed for Environmental staff.  Provide relief for bookkeeping staff in taking credit card payments.  Assist the administrations administrative assistants as needed.  Assist with supportive needs for the seasonal mosquito sampling, including data entry, charge of batteries, securing supplies, creation of PSA and handouts, website maintenance and maintain contact with KDHE.  Generate bills for EH clients as needed.  Data collection and minor analysis as requested.

Minimum high school graduate or G.E.D.  Preferred Associate in Business Administrative Technologies.  Must possess a valid Kansas driver’s license.  Must pass a pre-employment Physical Capacity Profile and Drug Screen.  Employee is responsible for obtaining and maintain all certification requirements relative to the position.

Equipment:

Operate all job related machinery, equipment, tools and other aids as required, necessary, or needed in the performance of these job functions.

Work Environment:

99% indoors and 1% outdoors.  Duties are performed in a climate-controlled building.  Possibility of being noisy and may have unpleasant odors.  Occasionally may be exposed to spills of body fluids and illnesses.
