Job Description:

Job Objectives:

Provide information and assistance to customers, both internal and external, regarding statutory functions of the office of the Sedgwick County Clerk. The “front office” staff handles administrative and licensing functions, and this position specifically is the primary contact for applicants regarding licensing and Homestead Property Tax Rebate/Refund applications.

 

Essential Job Functions:

Information and assistance

  • Prepare homestead claims and assist filers to inquire regarding delayed or missing refunds, or to provide required documentation to the Kansas Department of Revenue (KDOR)
  • Become knowledgeable in reasons and remedies for common Homestead filing problems
  • Assist with ELG file preparation by verifying claimant has ownership interest in property, entering amounts available in spreadsheet and transferring first half tax charges to KDOR portal
  • Answer inquiries for information by phone, email or in person and direct individuals to appropriate desk, department or agency

General front office functions

  • Issue licenses under state statute, regulation or county code
  • Become familiar with adult entertainment (AE) code pertaining to AE Performers
  • Become familiar with codes and statutes relating to cereal malt beverage (CMB) and liquor licensing in Kansas and Sedgwick County
  • Become familiar with Kansas Department of Wildlife, Parks and Tourism (KDWPT) online licensing procedures and serve as lead within department for technical problems relating to licensing
  • Accept payments for copies or licensing applications
  • Reconcile cashiering system and process Aumentum deposits
  • Cross train in all desks

Data conversion and scanning

  • Scan journals, contracts, resolutions, historical records, and other Clerk records into database
  • Catalog and retrieve scanned documents; prepare converted documents for storage in records center
  • Scan and maintain database of Sedgwick County Employee and Appointee oaths

Job Standards:

Minimum Qualifications

Educational Requirements:  High school diploma, GED or equivalent

License, certifications, etc…: Ability to be appointed as a notary public for the state of Kansas and demonstrated proficiency in Microsoft Office Suite of products

Preferred Qualifications

Educational Requirements:  Some college, post-secondary, or technical education

Years of Experience:  Two or more years in an office or customer service setting

License, certifications, etc…:  Ability to be appointed as a notary public for the state of Kansas,  demonstrated proficiency in Microsoft Office suite of products , valid Kansas driver’s license

 

Physical Requirements of Position:.

Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes.

Equipment:

Standard use of general office equipment including but not limited to computer, printer, scanner, copier, fax machine, shredder, and multi-line phones

 

Work Environment:

Usual working days/hours:  Monday - Friday, 8:00 a.m. to 5:00 p.m.
