Job Description:

Job Objectives:

Perform advanced clerical work in fiscal operations.  Perform a wide variety of complex fiscal processes to account for County records and funds.  Ensure fiscal processes comply with departmental policies and procedures.   Provide assistance and information to the public via telephone.  Process client data and must ensure client confidentiality.


Essential Job Functions:

Provide direct patient interactions (ex. in person – check-in/out, through email, and over the phone).

  • Enter historical immunization records for clients.
  • Set up new client records and update existing client records.
  • Answer questions and offer information on services provided as requested.
  • Schedule appointments correctly.  Review appointment date and time with client.
  • Provide correct paperwork for clients to fill out for services.
  • Greet customers cordially in person and over the phone.
  • Follow-up with clients when necessary.

Perform accurate and timely data entry into electronic records and assure accuracy of encounters and procedure codes.

  • Process 10% of all encounters (check-in/out).
  • Verify data for accuracy and correct any errors.
  • Maintain client confidentiality.
  • Obtain information to determine special program eligibility and sliding fee discounts as applicable.
  • Store completed documents in designated locations.
  • Comply with data integrity and security policies.

Receive payments from patients and the public regarding Division of Health’s services, post payments and verify receipts.Research payment history for clients.

  • Prepare cash report daily.
  • Ensure correct payment processing.

Job Standards:

Minimum Qualifications

Educational Requirements:  High school diploma or equivalent, including or supplemented by course work in bookkeeping, accounting, or related fiscal work.

Preferred Qualifications

Years of Experience:  One-year experience in fiscal work, billing, and/or customer service environment.

License, certifications, etc…  Bilingual in English and either Spanish or Vietnamese.


Physical Requirements of Position:

Light work.  Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.  Sits most of the time.

The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes.


Testing/Screening Requested:

Background and DMV checks, Pre-employment drug screen, and 10-Key and Data Entry testing



Standard office equipment and computer with Microsoft Office software
