Position Summary:

Under the supervision of the Office Manager, the Legal Assistant I will be assigned work according to subject matter, e.g. juvenile cases, adult cases, traffic cases etc. and will be responsible for preparing and maintaining files, including all related documentation associated with his/her assigned case load.  The caseload can be reassigned and/or changed, depending on the type/volume of cases referred to the office.  The employee is expected to be a self-starter; able to perform on his/her own; and complete assigned tasks with a minimal amount of supervision.  The employee must have knowledge of general office practices, possess strong typing and data-entry skills and must have the ability to recognize and use correct spelling, punctuation and grammar when typing correspondence.  The employee must have strong communication skills, and must be able to work with the public in a congenial manner.  The employee must be able to multi-task and perform under high-stress conditions.

Franklin County participates in the Kansas Public Employees Retirement System (KPERS & KP&F).

JOB SUMMARY:

ESSENTIAL FUNCTIONS:

  • Operates office machines, such as photocopiers, scanners, facsimile machines, voice mail systems, and personal computers;
  • Answers telephones, directs calls, and takes messages; communicates with customers, employees, and other individuals to answer questions, disseminate or explain information and address questions;
  • Computes, records, and proofreads data, records, descriptions, and other information for records or reports;
  • Types, formats, proofreads, and edits correspondence and other documents;
  • Receives, counts, and handles money, receipts money from customers, balances cash in drawers, deposits funds in vault, balances funds, accounts and books;
  • Maintains and updates filing, mailing, database systems, and records, either manually or using a computer;
  • Performs other duties such as data entry, records management, and scanning;
  • Directs information to other departments if necessary, and reviews documents for accuracy, completeness, and proper signatures;
  • Uses software to enter and produce correspondence, reports, tables, and financial schedules;
  • Logs police reports and maintain logging system;
  • Compiles restitution amounts in cases where restitution is sought;
  • Sends correspondence to victims at every stage of proceedings as required by law;
  • Researches defendants’ driving records and criminal history to ensure accurate charging; gathers and analyzes research data, such as statutes, decisions, and legal articles, codes, and documents;
  • Investigates facts and law of cases and searches pertinent sources, such as public records, to determine causes of action and to prepare cases;
  • Reports dispositions of cases to KBI, victims and other agencies as required by law;
  • Monitors diversions, including payments, proof of counseling, community service, etc. and testifies in court as to violations of those terms of diversion in specific cases;
  • Prepares affidavits or other documents such as legal correspondence, and organizes and maintains documents in paper or electronic filing system; prepares motions to continue, motions to revoke probation, and motions to resume prosecution; prepares subpoenas and court notices for witnesses and victims in cases;
  • Electronically files complaints and other paperwork in District and Appellate Courts;
  • Prepares journal entries of hearings in cases;
  • Makes telephone or other contact with witnesses and/or victims to ensure they have been notified of court hearings and are planning on attending;
  • Uses the daily jail sheet to determine what people have/have not been charged and proceeds accordingly;
  • Ensures police reports distributed in timely manner to the attorneys to make charging decisions.  If the reports are not received in a timely manner, calls the appropriate law enforcement agency and get the reports;
  • Prepares Child in Need of Care (CINC) and Care and Treatment cases for Attorney signature;
  • Determines Indian Child Welfare Status in Child in Need of Care cases;
  • Prepares orders for publication and arranges for publication in newspaper;
  • Maintains officer time off calendar;
  • Works with schools and Outreach Program on truancy cases;
  • Attends and participates in office meetings and training sessions;
  • Other duties as assigned.

 

SECONDARY FUNCTIONS:

  • Performs other related duties as required.

 

SUPERVISORY FUNCTIONS:

  • None.

CERTIFICATIONS, LICENSES, REGISTRATIONS:

  • Associate's degree or equivalent from two-year college or technical school;
