Job Description:

Job Objectives:

Provide data entry and clerical support for Central Supply along with backup duties for Customer Service as needed.   Perform a variety of physical inventory and documentation processes to account for medical supplies and vaccines.   Perform advanced clerical work in fiscal operations.   Perform a variety of complex fiscal processes to account for County records and funds.

 

Essential Job Functions:

Maintain product supply inventory:

  • Ensure adequate supplies are kept on hand, shelved correctly, and maintained per expiration date.
  • Conduct accurate monthly, quarterly, and annual inventories.
  • Receive deliveries and rotate stock.

Clerical support:

  • Respond to supply requests from DOH programs and fulfill the requests in a timely manner.
  • Complete accurate and timely data entry.
  • Utilize computer software such as SAP, PPS, and MS Excel to generate purchase orders, expend supplies to program budgets, and to maintain product supply information in an accurate and timely manner.
  • Provide excellent customer service to all internal and external staff, vendors, agencies, etc.
  • Participate in Quality Improvement projects.

Monitor and maintain refrigeration units and backup generator, and address building issues:

  • Monitor and maintain Central Supply refrigeration units, maintain temperature logs, and report any unit malfunctions.
  • Maintain backup generator service logs and report any generator malfunctions.
  • Notify appropriate staff or contractors to resolve facility, maintenance and custodial issues.

Job Standards:

Minimum Qualifications

Educational Requirements:  High school diploma or equivalent, including or supplemented by course work in operations, bookkeeping, accounting, or related fiscal work.

Preferred Qualifications

Educational Requirements:  Course work in operations, bookkeeping, accounting, or related fiscal work

Years of Experience:  One-year experience in supply work, inventory control, or fiscal operations.

 

Physical Requirements of Position:

Medium work.  Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.

The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes.

 

Testing/Screening Requested:

• Background and DMV checks • Pre-employment drug screen • 10-Key and Data Entry testing

 

Equipment:

Standard office equipment and computer with Microsoft Office software

 

Work Environment:

Usual working days/hours:  Monday - Friday, 8:00 a.m. to 5:00 p.m.
