Job Title: Customer Care Clerk
Reports to: City Clerk
Classification: Non-exempt, Full-Time
Pay Range: $12.50 - $16.90
Under the supervision of the City Clerk, the Customer Care Clerk is a non-exempt position under FLSA which performs data entry and clerical duties. This employee is the first person to answer the City’s incoming phone calls and greets and assists the customers who enter City Hall. This clerk is responsible for, entering accounts receivable data into the city’s computer system, preparing reports and assisting with citizen inquiries.
Open City Hall at the beginning of the day.
Greet and assist customers who enter City Hall.
Answer incoming phone calls and assist caller. If unable to assist caller, route caller to appropriate staff member to insure he / she receives the best service possible.
Receive & Process incoming utility payments.
Process all other incoming payments.
Assist with Utility Billing and Accounts Payable
Take Move-In / Move-Out orders for Utility service, collect photo ID’s and new service / transfer fees.
Monitor radio and respond as needed.
Put postage on mail daily and take it to the Post Office.
Miscellaneous clerical duties as requested.
Assist other departments as requested.
Close City Hall at the end of the day. Lock front doors, close blinds, lock file cabinet, remove key for cash drawer and put in a safe place, turn off lights
Typing of various reports or correspondence related to utilities
Assists other City Hall personnel when needed for specific tasks or projects
Performs other duties as deemed necessary or assigned
Experience: 3 years working in a business environment is preferred. Employee is expected to have acquired the necessary information and skills to perform the job reasonably well after one year in the position.
Education: Some college preferred; high school diploma or equivalent with experience.
Technical Skills: Technical abilities expected including knowledge of computer applications and typing with a minimum 40 w.p.m. The ability to operate a calculator, computer, and other related office equipment for extended periods of time. The ability to provide routine maintenance to general office machines.
Problem Solving: Frequently involves handling complaints and inquiries from the general public. Must be able to create and produce reports.
Decision Making: Frequent decision making involves prioritization of work.
Supervision: Must be able to perform daily functions efficiently with minimal supervision provided by the City Clerk.
Financial Accountability: This employee is not responsible for budgetary control of the Administrative Office but must assist in cost effective operation of the office and must be bondable.
Personal Relations: Frequent Contact with other City departments and continual contact with the public.
Working Conditions: No adverse working conditions exist in this position.
Physical Requirements: Physical activity associated with working in an office is required to perform the daily duties of this position.
